Safety Features
Enhanced safety with automatic warnings for license expiry, airspace alerts, terrain awareness, and comprehensive sensor monitoring
Store and manage pilot licenses, aircraft documents, insurance papers, and other aviation documents with expiry tracking and easy access
The paperless cockpit isn’t just about convenience—it’s about having every critical document instantly accessible when you need it, whether that’s during a ramp check, at an unfamiliar FBO, or when planning a flight to a new airport. CaptainVFR transforms your device into a secure, organized document library that holds everything from your pilot certificate to aircraft insurance, from weight and balance data to maintenance logs.
No more digging through a flight bag for that one document, no more expired certificates discovered at the worst possible moment, and no more wondering if you have the current version of your aircraft’s paperwork. CaptainVFR keeps everything organized, tracks expiration dates, and ensures you’re always compliant and prepared.
Store, organize, and access every aviation document you need, all in one secure location
Aviation documents have expiration dates, and flying with expired documents isn’t just inconvenient—it’s illegal. CaptainVFR’s intelligent expiration tracking system monitors every document with an expiration date and provides escalating alerts as expiration approaches.
The system uses a color-coded visual system: green for documents valid for more than 90 days, yellow for documents expiring within 90 days, and red for documents expiring within 30 days or already expired. Dashboard widgets show your document status at a glance, and push notifications ensure you never miss a renewal deadline even if you haven’t opened the app recently.
For documents with complex expiration rules—like medical certificates that have different durations based on age and certificate type—the system applies the correct rules automatically. Third-class medicals valid for 60 months under age 40 but only 24 months over age 40? CaptainVFR knows the rules and calculates expiration correctly.
Advanced capabilities that make document management effortless and secure
When an FAA inspector or other authority requests to see your documents, you need to produce them quickly and professionally. CaptainVFR’s ramp check mode provides instant access to all required documents in a format that’s easy for inspectors to review.
A single tap opens ramp check mode, which displays your pilot certificate, medical certificate, photo ID, and aircraft documents in a clear, organized view. The inspector can scroll through documents easily, and you can quickly navigate to any specific document they request. The system tracks which documents were viewed during the ramp check, creating a record of the inspection.
For international operations, ramp check mode adapts to show the documents required in different countries—ICAO licenses, radio operator permits, customs declarations, and country-specific requirements. The system knows what documents are required for operations in different jurisdictions and ensures you have everything needed.
Documents change over time—certificates are renewed, aircraft configurations are modified, insurance policies are updated. CaptainVFR maintains complete version history for all documents, letting you see previous versions, track changes over time, and restore old versions if needed.
When you upload a new version of a document, the system archives the old version automatically. You can see when each version was uploaded, compare versions side by side, and maintain a complete audit trail. This is especially valuable for aircraft documents where you need to prove compliance history or track configuration changes over time.
Advanced capabilities for serious pilots and aircraft operators
CaptainVFR’s document management system creates a truly paperless cockpit while ensuring you’re always compliant, always prepared, and always able to produce the right document at the right time. From student pilots managing their first certificates to aircraft owners maintaining complex documentation, from flight instructors tracking student progress to flying clubs managing shared aircraft, CaptainVFR keeps every document organized, secure, and instantly accessible.
